Confidential handling of data

We handle your data on Floriday with integrity and confidentiality, which is guaranteed by a transparent and verifiable policy: the Royal FloraHolland Information Policy. The sharing of data is necessary for Royal FloraHolland's service provision, e.g. for handling orders, financial processing, logistical activities and making corrections.

With regard to all data entrusted to Royal FloraHolland, users of Floriday have access to their own data at all times. In addition, Royal FloraHolland complies with applicable laws and regulations on privacy, competition and data security. Integrity and confidentiality come first and we can demonstrate this at all times.

3 different types of data

The Information Policy safeguards the use and shareability of data. We distinguish between three different types of data and test this against the principles below:

  1. Public data
    This data is public and may be shared externally, such as the information on the clock (price and pieces) or the public asking price of the product in the Floriday Explorer. The use of data is always in line with the purpose for which it is used.

  2. Non-public data
    This data is not shared publicly, such as data from direct trade. If necessary, we provide only the necessary information to answer a question. Sharing this information should be in the interest of all parties connected to the marketplace. In doing so, we look at:
    • Non-reducible: Individual data cannot be traced through Royal FloraHolland (provided the grower's or buyer's consent is obtained and legally permitted). This is to safeguard the confidentiality of individual data of growers and buyers.
    • No cartelisation: We prevent data from being used to make implicit and explicit agreements among ourselves.
  3. Strictly confidential data
    This data is exclusively for individual growers and buyers, such as contract trading, sticker information and the exporter module. Only the relevant grower and buyer have access to this data. For support purposes, permission to access this data is always requested.

Measures

The measures below have been taken to ensure that we handle data on Floriday with integrity and that this is done as stated in the data policy.

The access to data is limited to employees who require this by virtue of their positions, such as the Floriday support team in order to be able to deal with queries.

To increase awareness, all Royal FloraHolland employees are - and will be - trained on an ongoing basis in the Code of Conduct of Royal FloraHolland, which includes how employees should handle commercially sensitive information. In addition, much attention is paid to Security Awareness Training courses (for example, employees have a confidentiality clause).

In case of observed or reported violations or deviations, the HR policy applies, in which sanctions are laid down.

Technical measures have been taken to regulate access to systems. Is the person who wants access really the person he says he is (authentication) and what is a user allowed to do within an environment (authorisation). With the introduction of 2-Factor Authentication, for example, we provide extra security when logging on to the platform. You can also use permissions in Floriday to set who is allowed to perform which actions. In addition, procedural measures have been taken to implement changes in IT systems.

 

The ‘Royal FloraHolland committee information policy’ formulates the Information Policy and supervises its implementation. A Data Committee has been established to discuss and evaluate the implementation of the Information Policy in practice. This consists of representatives of Royal FloraHolland, growers and buyers, in addition to an external independent expert in the field of data. The Members' Council reviews new developments at Floriday. In doing so, the Member Council always has the opportunity to make adjustments. 

The Data Committee annually commissions an independent party to examine the design, existence and operation of the above policies.

The network of suppliers, created by customers, is the basis for direct sales. Article and supply requests by customers from their suppliers.

Trade items created by suppliers as basis for sales, deliveries and payments.

Parties created by suppliers as basis for supply, availability and delivery orders.Parties created by suppliers as basis for supply, availability and delivery orders.

After growers create the supply, it will be made available to the buyers.

After creation of the contract by growers and buyers, standing orders can be placed.

A sales order is an order based on direct sales, auction presales or auction sales. In addition, a sales order is automatically created based on accepted standing orders with contracts.

Customer stickers are made available after the sales order was placed by a customer to a grower.

The delivery orders to customer locations, auction or external stock warehouses that are submitted by the growers. The delivery orders to customer locations are derived from the sales orders.

The fulfilment tasks for readying the delivery by growers or warehouses and the announcement of the delivery to the warehouse and/or the customer.

The transactions are created automatically, based on the sales orders and fulfilment tasks for the set-off and payment by the payment service provider.

The Floriday Messenger allows growers and buyers to send messages to each other about topics in Floriday.
